You are at the end of your day or your week and you think, “I must backup my files, but I don’t really have time, so I will do it tomorrow”. We’ve all been there, you’ve got pictures, music, work files, personal documents, videos of the kids that all need backing up to your external hard drive. Of course, you first need to find the new items which are obviously spread all over your computer, then you need to connect your external hard drive to your computer and then wait for the ‘copy and pasting’ to finish. What an absolute bore.

There are two things that are wrong with the first paragraph. The first is, “I don’t really have time, so I will do it tomorrow” and the second is “backing up to your external hard drive”. If you are one of those individuals still using an external hard drive to copy and paste your files as a backup solution, or you are a person who is always “doing it tomorrow” then this article is just for you.

Looking back historically, pictures were stored within physical photo albums, videos were all nicely organised on VHS tapes and documents were filed away in the filing cabinet. More recently these files are stored on CD/DVDs, external hard and flash drives, digital photo albums or allocated folders on your computers. It is likely that they are also stored on multiple computers and devices and with numerous versions available both new and old that you keep “just in case”. Well “just in case” is not a linear term and you cannot predict the day when your device will not only fail but the data will be unrecoverable. I am not just talking about your computer either, external hard drives are just as fragile and are notorious to just one day turn on and all you hear is the hard disk making strange grinding and skipping noises. So after all your hard work of “copy and pasting” to your external hard drive or a separate partition on your computer hard drive, it was pretty much all for nothing as everything is now gone. Not to mention that if your backup files are available, it is highly unlikely they will even be up-to-date. So what are you going to do now?

The answer is, don’t wait. Do not wait for that day to arrive, invest in an online backup solution now as not only will all of your files be backed up every day securely, available to be restored whenever you need, but the backup process will happen without any intervention from you, thus making the reliance on manual backing up completely redundant.

How does it work then?

Online Backup works using your internet connection. All of your files are copied to secure off-site file servers over the internet and then every day the online backup software is scheduled to make incremental back-ups of any new or changed files. You are also usually able to access up to 30 versions of your backups so that if you need to restore a document that was changed 12 days ago, then you can do just that. You can schedule the backup process to occur any time of day, week and some will even shutdown your computer for you once complete. It is quick, easy to use and you will feel totally assured that your files are backed up and available for restoration should disaster strike.

I understand how it works, but is it safe?

Yes it is safe as the internet connection uses a secure socket layer (SSL) to transfer the data, as well as the data being encrypted during the file transfer process and stored encrypted on the file servers. All of the file servers are located in large underground data-centres, monitored with sophisticated climate and security equipment with backup internet lines to ensure network uptime.

What about Data Protection?

All of your data is encrypted on the file servers and you are the only person to have the ability to decrypt and restore your files using your own decryption password. This ensures that you have total control over your files. In terms of legality, if you use an IT company in the United Kingdom ask them which country their backup servers are located. If they are stored within the EU, then they will all be compliant to the UK Data Protection Act. If the servers are located in the United States, make sure the company that owns the servers have signed up to the Safe Harbour Policy which is an extension to the UK Data Protection Act and is deemed acceptable and safe to transfer your data to.

What if the backup server goes down?

The majority of online backup companies use secondary backup servers for replication that hold your data as well. This ensures the availability of your information if their primary server fails.

But I need to be reliant on my internet connection

This is true and if your internet connection happens to go down at your home or office, the backup transfer will automatically continue from the last point when the connection is restored. Should your internet connection be offline when you need to restore your data, if you use a good backup company, you will also have the ability to access your files over the web from any computer, as well as download them.

Using an online backup company to safely and automatically store your personal and business files is not only vital to secure and protect your personal data continuity but it allows you to have a solution where once setup, you will not need to manually control any part of the backup process. Don’t jeopardise your data, talk to an IT Company and ask them about their online backup solutions as using the manual “copy and pasting” to external hard drives as a backup solution will soon be treated the same as VHS tapes, a redundant historical memory.

Whether you have a small business or a large corporation, one of the most valuable assets of your business is its electronic data. Your business’s electronic data consists of its financial information, documentation on clients and sales, and all other data stored on your computers and file servers.

Have you ever thought about what would happen to your company if you were the victim of any kind of disaster? Natural or man-made?

How expensive would the recovery effort be? Would your business be able to recover from such a loss? Where would you even begin the recovery process? All of these questions, and more, should be addressed in your company’s disaster recovery plan.

Every single business today, large or small, should have a disaster recovery plan in place for its electronic data. No matter what the size or income of your company is, you need to be able to recover your electronic data if something happens to your servers or to your buildings.

To start to build your disaster recovery plan, you will have some serious choices to make about how you archive your data and where you will store it once it has been backed up.

One option for backing up your data is to back it up on tapes each day. If you have a small amount of data you can perform complete daily backups each evening when no one is in the building and using your file server.

If you choose to backup your data each night, you will need multiple tapes so that you will always have archives to restore from if the need ever arises and you find something wrong with one of your tapes.

If you perform onsite backups then you will need to take your media to an offsite location to store at least once each week. By storing a copy offsite, you make certain that if there is a disaster at your building then your data will still be available to you. This will help you if you have to rebuild your file servers from scratch.

The downside to onsite backup is that it requires you to have an information technology technician to physically change-out tapes. And, more importantly, they need to remember to move your media tapes offsite each week.

Another downside to localizing the task is that the media tapes can be very expensive to purchase, and you will probably need many of them for your nightly and weekly replication tasks.

A more attractive option to using onsite data backup is to perform all of your replication to an offsite backup location. You can do this by utilizing a professional online backup service.

To use a professional online data backup service you would simply schedule a time for your server to connect to your backup service and duplicate your data onto their server. The data will travel over the Internet, through a secure and encrypted channel.

There are many big advantages to using an online data backup service. You do not have to purchase tapes and tape drives. You do not have to have someone remember to physically change your tapes, and remember to bring them to an offsite location.

And, your data is much safer being stored a long way away from your business, in a safe and secure computing environment.

It is vital to the existence of your business to address the issue of backing up and storing your electronic data. By making a disaster recovery plan, which includes online backup services, you can be assured your data is safe and secure in case you need it for any reason.

When you hear people talking about databases, it may seem confusing at first. Here is some background information to give you a head start researching what is best for your situation. A database is a collection of data arranged together to make it easier and quicker to find specific information.

Of all of the databases available, the most popular is the relational database. A relational database makes it much easier to find information because it utilizes a set of tables to store information. The tables are made up of columns that store the information.

A hierarchal database is different in that it stores and organizes data in a tree like structure with an upward link to each saved record. Yet another type of database model is the network model. This type of database stores its data with links to other saved data records. Whether it is lost data or just the need to backup data, a database can be the answer.

There are several methods you can choose from for backup and recovery of databases. Some deal with full backup and some deal with selective backup. Make a checklist of files on your computer. This will help you decide what to backup and what isn’t really necessary or important, in case of lost data.

Full backups are exactly as they sound; a full copy of the database is stored on the backup media. Full backups can be done without taking the database offline. Full backups can take longer to complete than some of the others.

Next we have what is called the differential backup. The differential backup only stores a copy of the data that has changed since the last full backup was completed. It is very important to remember that if you do have a database failure, since a differential backup would not be helpful with recovering lost data. You would need both the full and differential backups to restore your database properly.

If you regularly make backup copies of your files and store them in a separate, safe place, then you can get most if not all of your information back if something happens to your originals. Transaction logs track all modifications that are done within your database, even unfinished transactions. Binary logs contain all events in the database that did or could contain modified data. Binary logs are used to support server replication and can be used as backup.

The best backup method depends on the storage engines used by the databases. You have several options for storing your backup copies. The CD-RW allows you to burn your files onto a compact disc. The DVD-RW burns your files onto a DVD.

Then there is the USB flash drive. This is a small hard drive that plugs into any available usb port on your computer and allows you to transfer your files. There are also online storage and backup services. You can save your files online and you can access them anytime you need them. Even though all the information may seem confusing, taking time to do some research will make it less daunting.

As a follow-on, from the Appset/Job Creation Demo and the Job execution demo …in this demo, I will show the recovery process for a single sharepoint content database using EMC Replication Manager 5.2 Sp2. The configuration used for this demonstration consists again, of a mixed virtual and physical environment, my purpose being to show the flexibility of RM, in what is considered a more typical enterprise environment. 1) I delete some files with a Document Library folder in the site 2) I will select a content database (contentdb15), which for simplicity has one site (Site 15). Typically, Content databases contain many sites, potentially hundreds. Microsoft’s limit is 15000. You get the picture :-) EMC Replication Manager works on the content database level, as RM is a volume-level replication product, thats entirely fine. So it does indeed simplify replication configuration. When you recover a content database into sharepoint, sharepoint will automatically re-attach all the sites previously bound to that content database. The Content database is in reality, a SQL database “attached” to sharepoint. The SQL server here is a two-node physical Windows 2008 cluster, where the recovery process will need to perform cluster disk maintenance mode, and so on, as illustrated. The recovery process is explained as it progresses and I show that the deleted documents are back after recovery. Thanks! James.
